Team Billing

To work as a team in Formta, the admin who sets up the team needs a Studio or Pro plan. This page explains what a team costs, which of the two plans suits your team, how to add more people and what happens if the admin who pays for the team stops paying. For your own subscription, invoices and card details, see Billing Management.

What A Team Costs

Studio

  • 5 users included: The €850/month subscription covers you and 4 more people
  • Extra users: €165/month or €1,782/year per user, up to 25 users in total
  • People with their own Pro plan: Someone who pays for their own Pro plan doesn't use one of your paid users, but still counts towards the 25 people a Studio team can have. So if you have a Studio plan with the 5 included users, and add another team member who's paying for their own Pro plan, you'd have a team of six users. If you haven't used all 5 included users in the Studio plan, the rest would still be available to use.

Pro

  • Per user: €200/month or €2,160/year for every user your team pays for, including yourself
  • People with their own Pro plan: Someone who's already paying for Pro can join your team and keep paying for it themselves. You can also offer to pay for them instead (see Paying for a Freelancer)
  • No maximum: You can have as many users as you need
  • Personal account manager: Teams of 30 users or more can apply to get a personal account manager with Formta for an extra cost. Contact Formta Support to set it up

Studio Or Pro?

Per person, the two plans cost almost the same: Studio costs €165 a month per user, Pro €200. Which one to select depends on what your team needs:

Studio is the better fit if:

  • Your team has no more than 25 people
  • 5 client revisions per project is enough for how you work
  • 50 GB of storage space is enough for your team's files
  • Images up to 25 MB and videos up to 500 MB cover what you upload
  • You don't need to be able to work offline for more than 7 days

Pro is the better fit if:

  • Your team is bigger than 25, or will be
  • You send more than 5 client revisions per project
  • You need more storage space: Pro includes 200 GB for the whole team
  • You work with large or specialist files: After Effects, Sketch and audio files, or 3D files over 100 MB, CAD files over 500 MB and BIM files over 1 GB
  • You need custom ICC colour profiles for soft-proofing and print
  • You want faster support (within 24 business hours instead of 48) and unlimited support chat sessions
  • You want to be able to work offline for up to 30 days, and recover deleted projects for 30 days instead of 7

See Subscription Plans for everything each plan includes.

Adding More Users

You can add users from the Billing page or from the Team management page:

  1. Click Upgrade plan on the Billing page, or Upgrade under Need to add more team members or storage space? on the Team management page
  2. Select your plan, Studio or Pro. Turn on Yearly billing if you want to pay yearly
  3. Under Need more storage space or users?, enter how many Additional team members you want. You'll see what they'll cost next to the field
  4. Click Update Plan if you've selected the plan you're already on, or Upgrade to Studio or Upgrade to Pro if you're moving up to a new plan
  5. If you already have a subscription, check what changes and click Confirm change (or Confirm upgrade if you're moving to a new plan)

Prices are shown without VAT, which is added to your payment.

  • If you already have a subscription: The new users are added to it and charged to the card you already use. You'll pay now for the part of your current payment period that's left, and from your next payment date they're included in your normal payment. Your payment date stays the same
  • If you don't have a subscription yet: The checkout opens so you can add your card details

If a user is on a Pro plan, they can join your team without you paying for them. If you want, you can also offer to pay for a freelancer's or a studio's plan while they're working with your team, for a period you select.

Paying For A Freelancer

If a freelancer has their own Pro or Studio plan, you can offer to pay for it while they work with you. The offer is part of their invitation, and nothing is charged until they accept. See Adding And Paying For A Freelancer for how to set it up.

If the freelancer has a team of their own, you can pay for their whole team instead. You're charged for their plan on top of your own, and the whole studio joins your team as one (see Paying For A Whole Studio).

Who Your Team Pays For

Your team pays for everyone on it, except people who pay for their own Pro plan or are on a Pro trial, and let team admins see their subscription. The Payment status column on the Team management page shows which is which:

  • Team-paid: Your team pays for this person. For a freelancer you're paying for, hover over the text to see the plan, what your team pays and until when, or click it and select Pay for Longer or Stop Future Payments
  • Studio paid by your team: This person is in a studio your team pays for. Hover over it to see until when, or click it and select Pay for Longer or Stop Future Payments
  • Self-paid: This person pays for their own plan
  • Pro trial: This person is on a Pro trial. When it ends, they'll leave your team unless they upgrade or you click the Pay for their account icon on their row (see Team Members on a Pro Trial)

Removing A Team Member

When you remove someone your team pays for, one of your users is free to use for someone else. When you're removing the person, you can select whether you want to keep paying for the user or downgrade to one less user on your team:

  • Keep paying for it: You'll keep the user, so you can add someone new
  • Stop paying for it from your next payment: You'll pay for one user less from your next payment. You don't get money back for the rest of the period you've already paid for, but can use the space for someone else until then.

On Studio, you're only asked when you pay for more than the 5 included users. You're not asked when the person pays for their own Pro plan, because the team never paid for them.

Removing a freelancer you pay for separately, or a whole studio, doesn't free up any of your team's users, because the payment for them is separate from your own team plan, so you're not asked about this. A freelancer who used one of your Studio users frees it like anyone else.

A freelancer you've removed stays covered until the end of the period your team has already paid for. Until then they stay on the Team management page, faded like an invitation, marked Team-paid. Hover over Team-paid to see the plan and until when your team pays. There's nothing to change on their row, because they're no longer on your team. If you invite them again, their row shows Pending until they accept, and still shows Team-paid after that, until your payment ends. Hover over it to see what happens next: "Then self-paid" if they pay for their own Pro plan, or "Then your team pays for them".

When you remove a freelancer, their place on your team stays reserved until the end of the period you've already paid for them, so you can't give it to someone else before then. You won't get money back for that period.

If The Admin Who Pays Stops Paying

A team's plan belongs to the admin who pays for it.

If they pause it, or a payment fails, the team's projects, Team page, inventories and calendars close for everyone on the team until the admin resumes or the payment goes through. Nobody is removed and nothing is deleted. Team management and billing stay open, so an admin can sort the payment out.

If they cancel their subscription or change to the Personal plan:

  • The team keeps working until the end of the period they've already paid for
  • Everyone else on the team gets an email 7 days before that date to remind them when the team closes, in case someone else needs to take over the team
  • On that date, the team closes. Its projects go to the admin who paid, and everyone else loses access to them. To keep working in Formta, they'll need a plan of their own
  • Freelancers the team was paying for go back to their own subscription when the period the team paid for ends

Taking Over The Payment

If you're another admin on the team, you can take over the payment and keep the team as it is. Your Billing page shows a Team payment is ending section with the date the current payment runs out.

  1. Under Users, enter how many people you want to pay for. People who pay for their own Pro plan don't count, and they stay on the team
  2. If you select fewer users than there are people on the team, select the people you want to keep. You count as one of the users yourself. Invitations that haven't been answered yet take up users too. To free one, revoke the invitation on the Team management page
  3. Click Take over payment
  4. Add your card details in the checkout

As soon as you've added your card, you're the admin who pays for the team, and the team, its projects and the people you kept carry on as before. Anyone you didn't select to keep leaves the team then, and gets a notification saying they've been removed. Any projects they've created in the team go to you.

You won't be charged until the date the current payment runs out. If that payment fails, you'll get an email, and the team's projects close for everyone until the payment goes through. Our payment provider will try the payment again. If it still can't be paid, your subscription is cancelled and the team closes the same way as when the admin who pays stops paying (see If The Admin Who Pays Stops Paying).

Tips

  • Add a second admin: If the admin who pays leaves or stops paying, a second admin can take over the payment and your team won't close
