Inventory Basics

Keep track of everything you use in your work, from cameras, props and furniture to brand assets and files, and find it again for the next project. Your inventories are on the Inventory page in the left sidebar.

Your Inventories

Each inventory has a tab at the top of the Inventory page:

  • Add an inventory: Click + next to the tabs
  • Rename an inventory: Right-click its tab
  • Delete an inventory: Hover over its tab and click the X. For an inventory shared with your team, the X removes it from the team
  • Go to an inventory: Click its tab, press its number, or press ⌘ / Ctrl + Shift + → and ←. If there are more inventories than there's space for, use the arrows or the list at the end of the tabs

Views

Switch between the views with the icons at the top left:

  • List: A table with every detail. Click a row to open it and see its Notes and Categories
  • Gallery: A grid of images, with the stock, size, location, project and tags under each
  • Media: The files, with their name, project, tags and notes

An Inventory Item

An item is either a file, like a logo, a 3D model or a floor plan, or a physical thing, like a camera or a chair, kept as a photo of it. Each item has:

  • Name
  • Stock: How many you have. Change it when you use some up, buy more or something breaks
  • Size: Length, depth, width and height, and the unit
  • Projects: The projects that use it. An item can be on more than one project at a time, like studio equipment, and shows in the Inventory Lists on each of them
  • Location: Where it's kept, like "Studio A, shelf 3" or "On loan to John". If it's kept in more than one place, add each location and how many are there. When those don't add up to the stock, the location shows how many you've placed, like "3 of 5"
  • Tags: Up to 10
  • Categories: Up to 10
  • Notes

Click any detail to change it. In the list view, click a row to see its notes and categories.

Adding Items

Click + at the top left of the Inventory page to open Upload media, and add your files. Each file becomes an item, ready for you to add its details.

Categories And Tags

Categories and tags both group your items, in different ways. Categories are broad groups, like cameras, lighting and props. Tags are the details that cut across them, like a type of project, an item's condition or where it's kept.

To add one to an item, click the field and select one you've used before, or type a new one. To take one off an item, click the field and select it again in the list, or press Backspace in the field to remove the last one. To delete a tag from every item that has it, click the X next to it in the list and confirm. Agree on your tags with your team early, so everyone uses the same ones.

Searching

Type in Search inventory... to find items. It finds an item by any part of its name or its notes, so "chair" finds "Armchair" as well as "Chair, folding". It also finds an item by the start of its location, tags, projects, stock and size.

Selecting More Than One Item

To download or delete more than one item at once, select them, or select them all with the checkbox at the top. If you can't delete items in this inventory, select them in the gallery view. A bar opens with Download Selected and Delete Selected:

  • Download Selected downloads the file of every selected item. Anyone who can see the inventory can use it
  • Delete Selected asks you to confirm, then deletes the selected items. An item from another inventory, which only shows here because it's on this project, is taken off this project instead and stays in its own inventory. Only the person whose inventory it is, or an admin of its team, can delete items

Who Can Use An Inventory

Admins can use all their team's inventories. Team members can use the inventories they've been given access to, and create personal inventories of their own, which use their own storage space. See Setting Up Your Team.

Keeping Track Of What You're Buying

For things you're ordering, use a Shopping Selection for your client or team to approve them, and a Tracking List connected to it to follow the orders until they arrive. Once they're delivered, add them to your inventory on the Inventory page.
