Project Permissions
Three things decide what someone can do on a project: their role in the team, which projects, inventories and calendars they've been given access to, and what their plan allows.
Team Roles
Each person has a role in each team they're part of, Admin or Team. Someone can be an admin of one team and a team member in another. See Roles.
Admins Can
- Access all the team's projects, inventories and calendars
- Invite new people to the team, and remove people
- Change people's roles and what they can access
- Change team plan
- Buy additional team storage space
Team Members Can
- Work on the projects, inventories and calendars they've been given access to
- Create new projects
- Add existing team members to a project. Only admins can invite new people, or remove people
Both roles can send project pages to clients for review.
What Someone Can Access
If you're an admin, you can also select which inventories and calendars someone can use when you add them to a project, so they can work on it without seeing sensitive documents like contracts or your personal schedule.
If you're an admin, you can change someone's access in Account → Team management: click the Projects, Inventory or Calendars column on their row. See Changing What Someone Can Access.
What Clients Can Do
Clients only see the page you've sent them, and they can't edit your project. When you send a page, you select if they can reply in the conversations, can see existing comments, and, on a page with a Photo Selection, if they can download the images in it. Clients can approve photos in a Photo Selection and items in a Shopping Selection. If you send a page to more than one client, each one gets their own copy to comment on and approve. See Client Revisions.
What Your Plan Allows
Each plan has different limits, so what you can do in a project depends on your plan.
- Personal: Create your own projects and share with clients, but can't be a part of any team
- Studio and Pro: Can create personal and team projects, share with clients and everything else those plans include
See Subscription Plans.
After Your Free Trial Expires
If you haven't selected a plan when the 30-day Pro trial ends, you'll be removed from any team you're in, unless an admin of that team has chosen to pay for your account. You'll get a notice seven days before your trial ends. All your personal work is kept for as long as you have a Formta account, so you don't lose it while being away from Formta, and you can still:
- See your billing and update your subscription
- Edit your profile, which others only see if you're the client on one of their projects
- See the list of your projects on the Projects page, without opening them
- See, comment on and approve the client revisions you've been sent as a client
You can't open, create or edit projects or elements until you upgrade to Personal, Studio or Pro.
Tips
- Give people Team access to start with: Make them an admin only when they need to manage the team, its members and what they can access
- Add a second admin: If the admin who pays for the team leaves or stops paying, another admin can take over the payment and the team stays open
- Send a page to people who only need to see it: Send it to them as a client instead of adding them to the team. They'll only see that page, and they can't edit your project. Sending a page to a client doesn't cost anything, while adding a team member does
- Select a plan before your trial ends: Otherwise you'll leave any team that isn't paying for your account, and you can't open your own projects until you upgrade
