Working with Large Teams

What helps a five-person studio helps a fifty-person team too, and some of it matters more as the team grows: knowing who sees what, keeping the conversation next to the work, and seeing how every project and every person is doing.

Roles

In Account → Team management, each person on the team has one of two roles:

  • Admin: Runs the team, its members and their access, and can open all the team's projects, inventories and calendars
  • Team Member: Works on the projects, inventories and calendars they've been given access to

In a big team, a few admins usually manage the people and the payments, and the rest of the team are Team Members on the projects they work on. See Team Permissions.

Who Sees Which Project

Team members only see the projects they've been added to, so confidential work stays with the people on it. Admins see all of the team's projects. See Setting Up Your Team.

Posts On The Team Page

The Team page is for things that concern the whole team, like changes to how you work, announcements and ideas. In a big team, it's where new people learn how the team works. See Team Posts.

Conversations On Project Pages

Right-click on a project page to start a conversation in that spot, next to the element it's about. When the team can't all be in the same room, feedback stays with the work instead of having your team communication spread out across 15 different places. See Element Conversations.

Working At The Same Time

When team members are on the same page, you see their cursors and their changes in real time. It helps you avoid doing the same work twice, and makes workshops across distances feel like you're in the same room.

Notifications

Notifications collect in the right sidebar, so you can read them between tasks. When push notifications are turned on for a device, @mentions and replies reach the team even when Formta isn't open, and you can reply right from the notification. See Notifications.

Team Mood Tracker

On Studio and Pro, the Team Mood Tracker shows how the team's feeling about the work over time. Inside a project, the answers are always anonymous. It won't tell you why a particular week was hard, but it tells you when to have the conversation. See Team Mood Tracker.

Project Reports

Click the clipboard icon in the Report column on the Projects page. A report covers the project summary, team, timeline, budget status, department status, upcoming deadlines, risks and roadblocks, goals and KPIs, team mood and key learnings, and you can export it as a PDF. See Project Reports.

Planning Across Projects

The Calendar page shows the events, tasks and meetings in the calendars you select, across your projects. Use the Timeline view to see who's working on what, and when.

When To Move To Pro

A Studio team can have up to 25 people. When you expect to grow past that, move to Pro: it has no limit on how many people your team can have, at €200 a month for each user your team pays for, with more storage space. Moving a few months early gives you time to set up the new people before you need them. See Team Billing.

Tips

  • Save your own project templates early, so every new project starts the same way
  • Agree on inventory categories and tags before your inventory gets big
  • Make project reports a habit: Read the monthly report for each running project, and complete the final report when each one is done
  • Use the Team page for the whole team's conversation
