Notifications

Know when something happens that needs you, like a mention, a client's feedback or a task at risk, across every project, without having to go looking for it.

Where Notifications Appear

In The App

Click the bell icon to open the notifications in the right sidebar, from anywhere in Formta. They're from all your projects, and the bell shows how many you haven't read.

Click a notification to read the whole message, or the X on it to remove it. Clear All at the top removes every notification after you confirm, except team invitations you haven't answered yet. The coloured edge and the icon on each notification show what kind it is, like a warning for something that needs attention or a green mark for something that went well.

Email

Invitations, meeting invitations and a few other messages are also sent by email, so they reach you outside Formta too. The only emails you can switch off are Marketing & Announcements and the Weekly Digest.

What You'll Be Notified About

Tasks

Completed, delayed, at risk, hit a roadblock, cancelled, due soon, priority changed, reassigned to you, or you've been assigned to one.

Projects

Status changed, priority updated, due date approaching, someone added to the project, a project shared with you, and monthly or final project reports.

Comments and Mentions

A comment added on something you follow, and any time someone mentions you in a comment, a team post, an event, a task, a meeting or an element.

Clients

A client made a photo selection, sent revision feedback, approved a revision, or commented. Plus confirmation when high-resolution files have been delivered.

Calendar and Meetings

Events created, updated or cancelled. Calendar tasks coming due. Meetings created, updated or cancelled, meeting invitations sent, and being added as an attendee.

Team

Team invitations received and declined, someone joining, someone removed, new team posts and groups, and inbox messages, replies and mentions.

Budget and Delivery

Something going over budget, a delivery running late, a payment due soon, and ticket sales milestones.

Account

A team starting or stopping paying for your plan, and failed email deliveries.

From Formta

Maintenance notices, system announcements, new features, tips and user guides, marketing and announcements, and the weekly digest. You can switch off everything here except maintenance notices.

Now And Then

Short surveys about how Formta's working for you, and a notice when changes you made while you were offline need you to review them.

Selecting Which Notifications You Receive

Open the settings icon in the right sidebar, or go to Account → Notifications. They're the same settings, and only change what you receive, not what your team does.

  • Clients, Projects & Tasks and Teams: Turn each kind of notification on or off, like Task assignments, New comments or Inbox messages. Under Teams, select how often you're asked for a Mood check-in
  • In-app: System announcements, new feature updates, tips and user guides, marketing and announcements, and the weekly digest
  • Email: Marketing & Announcements and the Weekly Digest
  • Push: Client updates & activities, New comments and Inbox messages, on the device you're using

Mute By Project

When one busy project drowns out the rest, mute it. Under Mute by project, select Muted, saved for later to keep its notifications to read later, or Off, not saved to stop them, and On to get them again. Muting a project only changes your own notifications.

A few notifications are always sent, because they need you whatever your settings: security notices, maintenance notices, invitations, budget and delivery warnings, and notices about your subscription.

Push Notifications

Push notifications reach your phone, tablet or computer even when Formta isn't open, so @mentions and replies reach you between tasks. Turn them on for each device in the Push settings, and allow notifications when your browser asks. Each push setting sends only its own kind:

  • Inbox messages: New messages, replies and mentions in your Inbox
  • New comments: New team posts, and comments and mentions in project conversations, team posts, tasks, events, meetings and elements
  • Client updates & activities: What your clients do, like sending feedback, approving a revision or making a photo selection

Everything else, like tasks, meetings, projects and your account, stays in the bell.

Replying From A Notification

You can answer a message or a comment from the push notification itself, without opening Formta. Your reply is posted as you, in the same place it would be if you'd replied in Formta, and the people it concerns are notified as usual. You can reply once from each notification, for up to 7 days after it arrives.

In Chrome and Edge, you can type your reply right in the notification. In other browsers, click the notification to open the conversation in Formta and answer there.

Client updates are there to tell you what your clients did, so they have no reply. Click one to open it.
