Budget Sheet

Plan what your project will earn and cost, and keep track of what it actually does. Every line of income or expense has a Budget, what you expect it to be, and an Actual, what it turned out to be, so you can see at a glance where the project stands.

Adding A Budget Sheet

  1. Click on the project page where you want the Budget Sheet to be added, and type / to open the element menu
  2. Search for Budget Sheet
  3. Select it to add it to the page

Income And Expenses

The sheet has a section for income and one for expenses. Each line has a name, a Responsible person, a Department, a Budget month, and its Budget and Actual amounts. Income lines also have Notes. Expense lines also have a Category, a Status (Not paid, Partly paid, Paid or Overdue) and a Due date, so you can see what's still to pay.

To add a line, right-click a line and select Add row above or Add row below. To delete one, right-click it and select Delete row.

Below the sections, Total result is your actual income minus your actual expenses, and Current month result is the same for this month. Select the sheet's currency at the top.

Viewing By Month Or Department

Select a view at the top of the sheet:

  • All: Every line in the sheet
  • Monthly: The lines of one month. Select the month beside the view
  • Department: The lines of one department. Select the department beside the view

The totals add up the lines in the view, so the Monthly view shows how each month went, and the Department view what each department earns and spends.

Adding A Data Source

Hover + and select Connect data source to bring in lines from a Table or another Budget Sheet, from any project of your team. From another Budget Sheet, select its income, its expenses, its net result or the whole sheet. The lines update when the source does, so you can keep a summary on one sheet and the details on another. Select Two-way sync to send your changes back to the source too. Amounts in another currency are converted into the sheet's currency.

To connect a single cell, row or column, right-click it and select Connect data source, or Connect row to data source for its whole row.

To bring in a file, hover + and select Import file. You can import CSV, XLSX and XLS files.

Using A Budget Sheet As A Data Source

A Budget Dashboard, a Project Budget Status Chart, a Payment Status Chart, a Table or another Budget Sheet can show the sheet's numbers, and a To Do List, To Do Kanban, Content Calendar or Timeline can add it to a task. Hover + on the sheet and select Copy connection ID to find it quickly in their list. They update when the sheet changes.

Client Revisions

Some lines aren't for a client's eyes, like a team member's pay or the details of a partnership. Before you send the page to a client, click the eye icon beside a line's name to hide it. The client sees one muted Private line in its place, without the amounts, and the totals stay the same, so they still add up.

When you've sent the page, the client can approve single lines or the whole sheet.

Export Your Budget Sheet

Click the download icon in the sheet's toolbar. The formats are:

  • PDF
  • XLSX
  • CSV

Tips

  • Fill in the Budget when you plan and the Actual as money comes in and goes out, so the sheet always shows how close you are to the plan
  • Give every line a department and a month, so the Department and Monthly views add up
  • Keep a summary sheet on one page and the details on another, by connecting the summary to the detailed sheet's income, expenses or net result
