Tracking List

Follow everything you've ordered for a project, from the order to the delivery and the invoice, in one list.

Adding A Tracking List

  1. Click on the project page where you want the Tracking List to be added, and type / to open the element menu
  2. Search for Tracking List
  3. Select it to add it to the page

Each Order

Every row is one order, with what you need to follow it from the order to the invoice:

  • Order #
  • Sender
  • Parcel Company
  • Tracking: The tracking link from the parcel company, so you can follow the parcel from Formta
  • Tracking Status: Not ordered, Ordered, Shipped, Delayed, Delivered, Returned or Partly returned
  • Invoice Status: Not paid, Paid, Partly paid or Overdue
  • Amount
  • Due Date: When the invoice is due
  • Categories
  • Responsible
  • Notes

The currency at the top is the one the amounts are written in. Changing it changes how they're shown, not the amounts themselves.

Adding And Deleting Orders

There are a few ways to add orders, one at a time or many at once:

  • Press N to add an order, or right-click a row and select Add row above or Add row below
  • Hover + and select Pick from inventory to add a file you've already uploaded
  • Press ⌘ / Ctrl + I to import orders from a CSV file

To delete an order, right-click it and select Delete row.

Adding A Data Source

Hover + and select Connect data source to bring in the items from a Table, Inventory List or Shopping Selection. From a Shopping Selection, select every item, only the approved items, the items your client has selected, or just a few. You can connect it before anything is approved, and items approved later are added as orders for you.

Using A Tracking List As A Data Source

A Map can show where an order is going, a Payment Status Chart how many invoices are paid, a Project Budget Status Chart what each category has cost, and a Project Status Chart where the deliveries stand. A Table can show the orders too. Connect the whole list to a To Do List or To Do Kanban to get a task for each order, or add an order to a task in a Content Calendar or Timeline. Hover + on the list and select Copy connection ID to find it quickly in their list. They update when the list changes.

Export Your Tracking List

Click the download icon in the list's toolbar. The formats are:

  • PDF
  • CSV
  • XLSX

Tips

  • Set the Tracking Status to Delivered when an order arrives, and the Invoice Status when you've paid for it. They're kept apart, so a delivered order you haven't paid for yet never gets lost
